Understanding QuickBooks Pro Plus, Premier Plus, and Enterprise
What is QuickBooks Pro Plus?
QuickBooks Pro Plus is the most basic version of QuickBooks, and it includes everything that businesses need for basic transactions, including invoicing, managing accounts payable, and sales tax reports.
This version is suitable for companies with up to 3 users and provides an affordable accounting solution, as it won’t require many overhead costs compared to other QB editions.
QB Pro Plus comprises various features like transaction monitoring, tracking unpaid bills, creating customized reports, inventory management, multiple currency support and more. It enables users to develop rule-based customer groups to automate updates and management processes. Furthermore, QB Pro Plus is one of the more affordable accounting software options for SMBs.
What is QuickBooks Premier Plus?
QuickBooks Premier Plus is an excellent choice for businesses that require additional features and industry-specific functionality. It supports up to 5 users and offers specialized editions tailored to retail, manufacturing, wholesale, non-profit, professional services, and contractor industries. These tailor-made editions further offer the ability to track bills, create customized charts and reports, manage inventory, use built-in templates, and more.
QuickBooks Premier allows users to create multiple invoices per customer each month, providing flexibility in billing. If you need a quick and customizable invoicing solution, an Invoice Template for MS Word can help standardize your billing format with ease. Instead of having one invoice template as part of their billing system (and having users manually input each customer monthly).
What is QuickBooks Enterprise?
QB Enterprise best fits businesses that are present in multiple locations and supports up to 40 active users. It serves various industries, from contractors, non-profits, and retail to manufacturing and wholesale. QB Enterprise enables business owners to set roles and permissions for each user according to their process and create advanced reports.
It supports up to 40 active users and provides advanced features such as:
An integrated payroll solution (hire and manage employees directly through QuickBooks)
The ’Payroll’ feature enables businesses to create paychecks in one place without re-entering them into each department’s payroll system, reducing errors and making tracking employee hours/payroll deductions by the department easier.
QB Enterprise is available in different models, offering scalability to match the requirements of various industries. It can manage up to 100,000 inventory items and is available in four models- Silver, Gold, Platinum, and Diamond.

QuickBooks Pro Plus vs. Premier vs. Enterprise Complete Comparison
1. Multiple Business Entities
QuickBooks Pro Plus allows businesses to create and manage separate company files, but each entity must be maintained individually. It does not provide a centralized dashboard or consolidated reporting across multiple businesses.
QuickBooks Premier Plus also requires businesses to manage each company in a separate file. Users must switch between company files to access data, and consolidated reporting is not available.
QuickBooks Enterprise supports multi-company management and consolidated reporting. Intercompany transaction management is available with Platinum and Diamond subscriptions. This makes it easier to monitor financial performance and streamline accounting across multiple companies.
2. Company File Capacity
QuickBooks Pro Plus and Premier is designed for small businesses with moderate accounting needs. It supports smaller company files and has a list limit of up to 14,500 combined customers, vendors, employees, and inventory items. As your business grows, this limit may affect performance and scalability.
QuickBooks Enterprise is built to handle significantly larger workloads. It supports large company files and allows up to 1 million customers, vendors, and inventory items, making it ideal for growing and high-volume businesses that need to manage extensive financial data without performance limitations.
3. Reporting
QuickBooks Pro Plus includes a range of standard reports for tracking income, expenses, sales, and overall business performance. While these reports meet the needs of many small businesses, the reporting capabilities are more limited compared to Enterprise.
QuickBooks Premier Plus offers enhanced reporting over Pro Plus, including industry-specific reports for selected business types. However, its reporting capabilities are still limited when compared to QuickBooks Enterprise.
QuickBooks Enterprise provides more than 200 built-in, customizable reports, including industry-specific reports, advanced job costing reports, and detailed financial insights. Businesses can also create custom reports to analyze data based on their unique operational and reporting requirements.
4. Inventory Management
QuickBooks Pro Plus includes basic inventory management features that allow businesses to track inventory quantities and monitor stock levels. However, it offers limited inventory capabilities and is better suited for businesses with simple inventory requirements.
QuickBooks Premier Plus provides more inventory functionality than Pro Plus. However, it still offers limited inventory management and may not meet the needs of businesses with complex inventory operations.
QuickBooks Enterprise includes advanced inventory management capabilities that let businesses categorize multi-level, multi-location inventory and track items down to the bin level. It also supports expiration date tracking and landed cost calculations, making it ideal for businesses managing large or complex inventories.
5. Pricing and Users
QuickBooks Pro Plus: Starts at $1,149/year and supports up to 3 users. It is a cost-effective option for small businesses that need essential accounting features and limited multi-user access.

What are the limitations to the number of customers and vendors for the three software versions of QB? We use Enterprise and would like to lower our costs by going to a lesser version if possible. We have:
165 Total Accounts
22,321 Total names
11,25 Customers
10,686 Vendors.
Of course not all are active.
Wayne
Hi Wayne,
Thanks for your question. Based on your numbers—over 22,000 total names, 11,250 customers, and 10,686 vendors—only QuickBooks Enterprise can handle your file.
Pro and Premier cap out at 14,500 names, so downgrading would likely lead to issues or data loss, even if many names are inactive.
To cut costs, consider condensing your file or exploring QuickBooks Enterprise hosting solution to reduce IT overhead.
Please connect with our cloud specialists in case you have any further queries.
Regards,
Julie Watson
I liked the Price level management feature the most as it lets you control, customize and automate your pricing right within QuickBooks. The hassle associated with manually updation are over. It helps to manage price rules your way.
One of the best feature — Batch deletion possible for bills, checks and invoices simplified billing process to a significant extent. Also, many other features are advantageous over other versions which aid in simplifying in time many of the accounting needs.
This post simplified the process of choosing the best suitable version for my accounting process. Amazing new features such as print labels, filtered reports has helped to simplify many of my accounting operations.
The feature that enables to import data from third-party apps such as Outlook, Excel and Quicken streamlined accounts operation which played a critical role in functioning of my business.
Undoubtedly, enterprise has more sophisticated inventory tracking reporting and related features. Also, it offers more advanced role-based specific user permission authority.
