Many CPA and accounting firms manage multiple business entities in different QuickBooks company files. Although having multiple company files makes data management convenient, it creates visibility challenges. Therefore, businesses often need to merge multiple company files or consolidate their data into unified reports.
If you are using any version of QuickBooks (Desktop or Online), here are some ways to merge data from multiple company files.
Important: Back Up First
Before combining, consolidating, or migrating any company file, create a local backup (File → Back Up Company → Create Local Backup) and store it separately. Migration and data operations are difficult or impossible to reverse once complete, and an error midway through can leave a file in an inconsistent state. If you ever need to restore a backup copy, follow the correct steps to avoid overwriting the wrong file.
Manually Export Files
The most primitive way to combine multiple company files is to export each to a separate Excel worksheet manually. Then, you can create a new worksheet to consolidate the data.
However, for businesses with more than two company files, this method can be tedious and time-consuming. Moreover, manual data consolidation is error-prone.
Using the QuickBooks Desktop Feature
QuickBooks Desktop has a feature to combine multiple QuickBooks reports, such as Profit & Loss and balance sheets, from different company files. However, it requires an identical chart of accounts. Moreover, the company file name and type should be the same. You can combine different company reports by –
- Open QuickBooks Desktop and navigate to the company file.
- In the Reports tab, click Combine Reports from Multiple Companies.
- Click Add Files to view all the available company files. Choose the file you want to combine from the window.
- Select the report type from the “Select reports for combining” window. You can also select the data range and report basis.
- Click Combine Reports in Excel.
You can also choose the advanced Excel options for formatting, printing, and layout.
Note: Some information, including payroll, bank reconciliation, and negative inventory data files, cannot be combined with this feature.
Using QQube Solution
QQube is a business intelligence platform that automatically consolidates data from multiple QuickBooks company files. Multiple QuickBooks files can be added to the QQube database, which then consolidates data into reports and dashboards. QQube enables users to combine the data of up to 100 companies.
To combine multiple company file data,
- Open the QQube configuration wizard.
- In the Data Sources option, choose QuickBooks Company List and click Add to add the company.
- For authorization, log in to the QuickBooks company file as Admin in Multi-user mode.
- A window will open, where you must select Yes, always; allow access even if QuickBooks is not running. Click Yes.
- In the “Login as” dialog box, choose QQube. Click on Done.
- Go to the configuration wizard and click Save when the company appears in the QuickBooks Company List.
You can repeat these steps to add multiple companies to merge their data. QQube also allows you to schedule the synchronization and include or exclude specific companies from the schedule.
Combining Multiple QuickBooks Desktop files into a QBO Account
If you want to transfer different QuickBooks Desktop company files into QuickBooks Online, you need to create a different account for each file. You can migrate with the help of the online migration tool.
However, it is important to update QuickBooks Desktop to the latest version before migration. If you don’t want to create multiple accounts, another way is to migrate the largest company file and manually export data from other company files.
To move your QuickBooks Desktop company file to QBO:
QuickBooks Desktop Pro and Premier 2022 or later
- Open the QuickBooks Desktop application.
- From the Company Tab, select Migrate this company file to QuickBooks Online.
- Choose Export Your Company File to QuickBooks Online.
QuickBooks Desktop Enterprise 2024
- In the Company tab, choose Migrate to QuickBooks Online.
- Open the Product Information window using Ctrl + 1.
- Press Ctrl + B + Q.
- Close the Product Information window.
- Follow the export prompts
Combining Multiple QuickBooks Online file into QuickBooks Enterprise file
Multiple QuickBooks Online companies cannot be directly combined into one QuickBooks Desktop Enterprise file using Intuit’s migration tool. Each QBO company must first be exported separately into its own QuickBooks Desktop company file. The migration tool transfers one company at a time.
To create one consolidated Enterprise file, you would then need to:
- Export each QuickBooks Online company to a separate Desktop file.
- Select one Enterprise file as the primary company.
- Transfer compatible lists, opening balances, and transactions from the other files using import tools or a specialist data-conversion service.
- Review duplicate records, account mappings, sales tax, payroll, inventory, reconciliations, and historical balances.
Simplify Multi-Company Accounting
Consolidating data from multiple company files gives businesses 360-degree visibility into their finances. They get valuable insights for accurate forecasting and cost management. However, you must choose among these methods according to your organization’s size, complexity, and reporting needs.
