Payroll problems rarely happen at a convenient time. You open QuickBooks to process payroll, but the page will not load, an error appears, or direct deposit does not go through as expected.
The first question is usually whether QuickBooks Payroll is down. Sometimes it is. In other cases, the issue may be limited to your browser, internet connection, QuickBooks Desktop version, or payroll updates.
The quickest way to fix the problem is to first identify where it is coming from. This guide walks you through the checks and fixes that can help you get QuickBooks Payroll working again.
Is QuickBooks Payroll Down Today?
Before changing anything on your computer, check the official QuickBooks Status page.
Intuit uses this page to report service outages, degraded performance, and other incidents affecting QuickBooks Online and QuickBooks Desktop.
If Intuit reports an active incident, the problem may be on its side. In that case, changing browser settings or reinstalling QuickBooks is unlikely to help.
If the status page shows QuickBooks as operational, start troubleshooting your own setup.
Move QuickBooks Desktop to the cloud for easier access and less local IT hassle.
Quick Fixes If There Is No Reported Outage
If Intuit is not reporting an outage, try these fixes before moving to more complicated troubleshooting.
1. Refresh or Restart QuickBooks
For QuickBooks Online Payroll, refresh the page and sign in again.
For QuickBooks Desktop Payroll, close QuickBooks completely and reopen it. A simple restart can clear a temporary application or connection problem.
If the problem continues, restart the computer before moving to the next steps.
2. Try a Private Browser Window
If you use QuickBooks Online Payroll, sign in through a private or incognito browser window. Intuit recommends private browsing as a basic troubleshooting step for browser-related problems.
If Payroll works in the private window but not your normal browser, stored browser data may be causing the problem. Use private browsing mainly as a test. Once you identify the issue, return to your normal supported browser.
3. Clear Cache and Cookies
QuickBooks Online uses browser cache and cookies to improve loading. However, outdated data can sometimes stop pages or forms from loading correctly.
Intuit recommends clearing the browser cache first. If the problem remains, you can also clear Intuit-specific cookies. Restart the browser afterward and sign in again.
4. Check Your Internet Connection
QuickBooks Online depends on a stable internet connection. Intuit notes that available bandwidth can affect QuickBooks Online performance.
If other websites are also loading slowly or disconnecting, test your connection before troubleshooting QuickBooks further. For QuickBooks Desktop Payroll, connection problems can also interfere with payroll updates and communication with Intuit services.
5. Update QuickBooks Desktop
If you use QuickBooks Desktop Payroll, make sure the application itself is current.
To check your release:
- Open QuickBooks Desktop.
- Press F2 or Ctrl + 1.
- Review the version and release number in the Product Information window.
To install available updates, go to:
Help → Update QuickBooks Desktop → Update Now → Get Updates
Restart QuickBooks after the update finishes. Intuit recommends keeping Desktop current to receive its latest maintenance, security, and product improvements.
6. Download the Latest Payroll Tax Table
QuickBooks Desktop Payroll also needs current payroll tax tables. Go to:
Employees → Get Payroll Updates → Download Entire Update → Update
Intuit states that you need an active QuickBooks Desktop Payroll subscription to download tax table updates. QuickBooks Online Payroll tax tables update automatically. You can also check Intuit’s payroll update page to confirm that your installed payroll update is current.
What If QuickBooks Shows a Payroll Error Code?
If QuickBooks gives you an error code, note the exact code before changing settings. Different payroll errors have different causes.
Three common groups are:
PS038: Intuit says this error occurs when paychecks become stuck with an Online to Send status. It can stop payroll from running or prevent tax tables from downloading.
See our PS038 troubleshooting guide
PSXXX errors: Codes such as PS032, PS033, PS036, PS101, and PS107 can be related to internet settings, firewall settings, payroll subscription problems, or damaged payroll files.
See Intuit’s PSXXX error guide
15XXX errors: These usually appear while updating QuickBooks Desktop or downloading payroll tax tables. Possible causes include firewall settings, missing update components, Windows issues, or digital signature problems.
See Intuit’s 15XXX troubleshooting guide
Use the instructions for the error you actually see instead of trying fixes for unrelated payroll problems.
Check Your QuickBooks Version
If you still use QuickBooks Desktop 2023, what looks like a payroll glitch may actually be a support issue. Intuit discontinued connected services for QuickBooks Desktop 2023 after May 31, 2026. This includes QuickBooks Desktop Payroll. For affected 2023 versions, Intuit states that:
- Assisted Payroll no longer automatically calculates payroll taxes, provides payroll forms, or sends payroll data.
- Basic and Enhanced Payroll no longer automatically calculate payroll taxes or provide payroll tax forms.
- An active Payroll subscription and a supported QuickBooks version are required for QuickBooks Workforce.
So, if payroll stopped working on QuickBooks Desktop 2023, repeatedly restarting or reinstalling the program will not restore discontinued payroll services. You need a supported QuickBooks version. Read Intuit’s QuickBooks Desktop 2023 discontinuation policy
Direct Deposit Not Working?
If direct deposit appears stuck or delayed, do not immediately submit the payroll again. First, check whether Intuit already received it. In QuickBooks Desktop Payroll, go to:
Employees → View Payroll Run Status
Intuit uses statuses such as:
- Sent to Intuit: Intuit received the payroll and is processing it.
- Sent to Bank: The debit request was sent to your bank.
- Payroll processed: The account was debited and payroll was sent to employees’ banks.
Checking the status first can help you avoid submitting the same payroll twice. If the payroll shows an error, Intuit says causes can include insufficient funds, a closed account, an invalid account number, or an account that cannot be located.
Remember that banks control the exact posting time for direct deposits. Federal holidays can also affect payroll timing.

Can QuickBooks Hosting Help?
QuickBooks Hosting can help when recurring problems are tied to the local environment rather than Intuit’s payroll service. With hosting, QuickBooks Desktop and its company files run on the hosting provider’s servers instead of depending on one office computer or locally maintained server. Intuit’s Hosting Program allows supported QuickBooks Desktop products to run in these hosted environments.
Ace Cloud Hosting is listed by Intuit as an authorized QuickBooks Desktop hosting provider. Businesses can host QuickBooks on the cloud to access QuickBooks Desktop from a centrally managed cloud environment instead of maintaining the application across individual office systems.
However, hosting does not fix an Intuit-side QuickBooks Payroll outage. If Intuit’s payroll service is unavailable, users still need to wait for that service to be restored.
The best approach is to identify the source first. Check Intuit’s status, then your browser, connection, QuickBooks version, payroll update, or error code. That will usually point you toward the right fix without unnecessary troubleshooting.
