In the hectic tax season, handling a large volume of returns not only induces stress but also leads to a significant number of errors. In such a scenario, tax firms need an advanced tax solution that optimizes workflows, enhances collaboration, and ensures smooth client interactions.
Drake Workflow is such a solution that automates the return status workflow and boosts tax preparers’ productivity. It is a feature in the Drake Hub platform that provides tax preparers with real-time visibility of client information and returns.
Drake Workflow integrates with Drake’s accounting, tax, client portal, and e-signature tools, ensuring automated updates of all client returns.
Understanding Drake Workflow & Its Features
Drake Workflow is a return-tracking feature in the Drake Hub. It offers 360-degree visibility into your tax returns and automates the tax workflow by integrating with other Drake tools, such as Drake Tax, Drake Accounting, and Drake Portals.
Let’s check out some features of Drake Workflow to better understand how it works.
1. Centralized Dashboard
Drake Workflow offers a centralized dashboard with different preparation stages, namely New Returns, Gathering Info, In Preparation, In Review, and Completed. You can view clients’ names and information by return stage.
As the preparers work on the clients’ returns, the work item is automatically moved to the next stage in the Drake Workflow dashboard. Moreover, it gives you the option to manually drag and drop the work item to another stage.

2. Statuses
The Drake Workflow’s preparation stages discussed above include different statuses. These statuses indicate what actions need to be taken on the client’s return.
As Drake Workflow is integrated with Drake tools, the status gets automatically updated in the dashboard. However, you can also select the appropriate status in that stage when dragging and dropping a client to the next preparation stage.
The different statuses include –
| New Returns | Gathering Info | In Preparation | In Review | Completed |
| Rolled from prior year | Pending Proposal | Preparation Started | Preparation Complete | Pending e-File Acceptance |
| Created new in Drake Tax | Proposal Approved | Amendment Started | Pending Approval | e-File Accepted |
| Prospect in Drake Hub | Pending Engagement | e-File Rejected | Return Approved | Filed on Paper |
| Signed Engagement | Extension e-File Rejected | Pending Signature | Return Cancelled | |
| Pending Extension e-File Acceptance | Signed | |||
| Extension e-File Accepted | ||||
| Extension Filed on Paper | ||||
| Pending Data | ||||
| Data Submitted |
3. Adding Work Item
Adding Work Item is a feature that allows tax preparers to add clients right from the portal. You can click the “+” sign on top of the dashboard to add the client. Select the client name from the list and set the return status to add the work item. You can then select the work item and view all the details.
4. Notifications
Drake Workflow enables tax preparers to set automated notifications. You can set notifications on a particular event. For instance, if a status changes to “Returned Approved”, you will get notified on the screen through a pop-up message.
If you miss that message, you can click Drake Hub’s notification icon. In addition, you can set notifications for clients in Drake Portal when a status changes in Workflow.
5. Assign Staff
Drake Workflow automatically routes the client to the right team member as soon as the status changes. However, you can also manually assign a return to the staff member.
Moreover, Workflow allows you to create internal notes for the assigned team member to ensure clear communication. These notes get deleted automatically after every season. You can also filter work items by the team member.
6. Due Date Setup
Drake Workflow enables you to set up a due date for every work item. As the due date approaches, the work item changes color to red to indicate an urgent item. You can view all the urgent work items in the urgent tab on the dashboard.
7. List View
Drake Workflow has introduced a List View that enables tax preparers to view status in an organized manner. It is an addition to the interactive Board View that displays returns in different columns according to preparation stages.
8. Customization & Due Date Filtering
You can now customize rows, columns, and filters according to your specific tax process. You can now filter returns by due date statuses, such as Urgent, Overdue, or Due Tomorrow.
9. Action Indicators
You get real-time alerts about actions, such as file uploads, questionnaires, signatures, and payments.
10. Improved Status Tracking & Multi-Year Support
Drake Workflow prioritizes statuses and always displays the relevant ones, ensuring you don’t miss any important updates. You can now switch between years easily with automatic updating of the entire workflow board.
How Drake Workflow Works: Real-life Scenario
Let’s assume you have been talking to a new client, Mark Perry Consulting.
Firstly, you need to add the prospect to the Clients section in Drake Hub. Once you create the client, data gets automatically synced to the Drake workflow in the New Returns section. Now, since you need to send Mark a proposal, you upload the proposal letter in Mark’s client portal.
The status in Workflow automatically changes to Pending Proposal in the Gathering Info stage. As the tax process moves forward, the status in Drake Workflow keeps changing. For instance, when Mark approves the proposal, the status will change to Proposal Approved. Data from Drake tools sync every sixty seconds with Workflow.
Drake Workflow vs. Traditional Workflow Tracking
Let’s see how Drake Workflow is different from traditional return status tracking.
| Spreadsheet-Based Tracking | Drake Workflow |
| No updates | Automated real-time updates |
| Inefficient collaboration | Centralized platform for collaboration |
| Manual workload management | Automated task assignment and tracking |
| Separate systems for payment and returns | Integrated payment and returns with real-time status updates |
| Time-consuming reporting | Custom filters, search, and views |
